Check stock is specialized paper built for printing checks, manufactured with security features baked into the sheet and a surface engineered to work with magnetic ink. Businesses and individuals use it to print checks in-house instead of ordering pre-printed books from a bank, which gives more control over cost, timing, and customization. Using it well means matching the right physical specs, security features, and printing setup so banks accept your checks and fraud losses don’t land on you.
What Sets Check Stock Apart From Regular Paper
Check stock is heavier than copy paper, usually in the 24 lb. to 28 lb. bond range. That weight gives the sheet enough rigidity to pass through high-speed bank scanners without jamming or tearing. Lighter paper often lacks the structural density mechanical sorters need during clearing.
The surface carries a coating that controls how ink sits on the page. It prevents bleeding and feathering, keeping numbers and letters sharp enough for automated character recognition to read them. Without that crispness, a check can be misread or pulled aside for manual review.
Size matters too. Under ANSI X9 standards, a personal check runs about 6 inches wide by 2.75 inches tall, and a business check about 8.25 inches wide by 3.5 inches tall. Bank scanning equipment is calibrated for documents within those ranges, and checks outside them may not feed through automated sorters properly.
Security Features Built Into the Paper
The security features on check stock are the main defense against counterfeiting and alteration. They work together so that copying, scanning, or chemically washing a check leaves visible evidence of tampering.
Anti-Copy and Anti-Scan Protections
Microprinting embeds tiny text along borders or signature lines. To the naked eye it looks like a solid line; under magnification it reads as words. Standard copiers and scanners cannot reproduce text at that scale, so a copied check shows a blurred or broken line where the microprinting should be. A void pantograph works on the same idea: the word “VOID” hides in the background pattern and only appears when the document is photocopied or scanned. Higher-security stock may also carry holographic foil elements fused to the paper, which cannot be photocopied and are hard to fake with standard printing equipment.
Anti-Alteration Protections
Chemical sensitivity is the main protection against check washing, a scheme where a thief uses solvents to erase the payee or amount and rewrites it. If bleach or an ink eradicator touches chemically sensitive stock, the paper reacts with a stain or color change that makes the tampering obvious. Multi-toned watermarks embedded during manufacturing appear only when the sheet is held up to light, adding another layer counterfeiters cannot easily reproduce.

Why the Security Level You Choose Matters
Weak security features can leave you holding the loss if fraud happens. Under the Uniform Commercial Code, a person whose failure to use ordinary care contributes to a forgery or alteration of a check may be prevented from recovering losses from the bank that paid the fraudulent instrument.2Cornell Law School. Print quality feeds into the same problem. Under the Check Clearing for the 21st Century Act, banks can process payments using digital images instead of physically routing the paper check, and paper reproductions made from those images carry the same legal weight as the original.3Office of the Law Revision Counsel. 12 USC 5001 – Findings; Purposes When your check is imaged at the first bank that touches it, the microprinting, watermark, and void pantograph all need to survive that imaging clearly. A poorly printed check can produce an image that trips automated fraud screens and delays payment.
Format Options
Check stock comes in several formats. Which one fits depends on how you keep records, which software you use, and how many accounts you print from.
Blank vs. Pre-Printed
Blank check stock arrives with only the security features built in. You print everything else yourself: name, address, bank logo, routing number, account number. This gives the most flexibility if you manage multiple accounts or change banking details often. Pre-printed stock comes with the account holder’s name, address, and bank branding already on the page, so you only print the variable data — payee, amount, date — for each transaction.
Layouts
Software-compatible check stock positions the check in one of three places on a standard sheet:
- Check-on-top places the check in the upper third and leaves the lower two-thirds for payment stubs or voucher details.
- Check-in-middle puts the check in the center with stub information above and below.
- Check-on-bottom places the check at the bottom, with the upper portion holding detailed payment records.
These layouts line up with the fields in accounting software like QuickBooks, so you can print the check and record the transaction in one step. A three-on-a-page format, with three checks per sheet and no voucher space, is common in small businesses that keep manual records or run high volumes of smaller payments.
Duplicate Stock
Duplicate check stock includes a thin layer of carbon or carbonless transfer paper beneath the original. When you write or print on the top check, the pressure creates a copy on the sheet underneath. That built-in record can replace the check register entry, which helps field workers or small businesses that write checks away from the office.
What You Need to Print On It
Loading check stock into any printer with any ink is not enough. The toner, the printer type, and the software all have to meet specific standards for banks to treat the check as a normal processing item.
MICR Toner Is Required
Checks must be printed with Magnetic Ink Character Recognition (MICR) toner for the routing number, account number, and check number along the bottom. Bank sorters read those numbers magnetically, not just optically. Standard laser toner lacks the iron oxide particles that make MICR toner magnetically readable. Print a check with regular toner and your bank or the receiving bank may reject it outright, route it to a slower manual process, or charge a per-item fee for the extra handling.
Printers and Software
Laser printers are the standard choice because they fuse toner onto the paper with heat, creating a bond that resists smudging and scraping. Inkjet printers are generally not recommended. The ink sits on the surface and can smear, and inkjet printing is not compatible with MICR toner cartridges.
Check printing software controls where text and numbers land within the designated zones on the check. Most accounting platforms include check printing features that map the payee, amount, and memo fields onto the layout and then position the MICR line along the bottom edge. Alignment matters. If the routing or account numbers sit even slightly outside the read zone, the check may fail automated processing.
Signatures
You are not required to sign every check by hand. Under the Uniform Commercial Code, a signature on a check can be made manually or by a device or machine, and it can use any name, mark, or symbol the signer adopts with the intent to authenticate the document.6Legal Information Institute. Because anyone with physical access to the stamp or image file can use it, limit access to authorized personnel.
Is It Cheaper Than Ordering From the Bank?
In-house printing has a higher upfront cost but can be much cheaper per check over time, especially at volume. The main expenses are the check stock, the MICR toner cartridge, and compatible accounting software.
Blank check stock bought in bulk generally runs a few cents per sheet. MICR toner cartridges typically cost between $90 and $330 depending on the printer model and whether you choose a compatible or OEM cartridge, with each cartridge printing several thousand pages. Ordering pre-printed business checks from a bank often costs $40 to $60 or more for a batch of 250 checks, which works out to roughly 16 to 24 cents per check before shipping.
If you write only a few dozen checks a month, the savings may not justify the setup. For organizations issuing hundreds or thousands of checks each month — payroll, vendor payments, rent distributions — in-house printing can cut per-check costs sharply. In exchange, you take on responsibility for keeping the stock secure, using proper MICR toner, and controlling access to the printing environment.
Storing Stock and Keeping Records
Securing Blank Stock
Blank check stock is essentially a blank financial instrument waiting for account information, so treat it the way you would treat signed checks. Store it in a locked cabinet or safe with access limited to authorized personnel. Assign someone outside the check preparation process to order the stock, track inventory, and account for any gaps in the numbering sequence. Never pre-sign blank checks. A signed blank check can be filled out for any amount and made payable to anyone.
Retention
The IRS requires you to keep records that support items on your tax return until the applicable statute of limitations expires. For most business expenses paid by check, that means holding onto check images, stubs, or register entries for at least three years after filing the return. Records supporting a bad-debt loss claim should be kept for seven years. Because Check 21 lets your bank keep only a digital image rather than the original paper, your own copies — digital exports from accounting software or voucher stubs from your check stock — are the independent backup if a tax question or payment dispute comes up later.
