What Is a Bank Key for Direct Deposit and How to Find It

When a payroll form or HR portal asks for a “bank key” for direct deposit, it wants your bank’s nine-digit ABA routing number. The two terms mean the same thing in the United States. Enter the routing number tied to the account where you want your paycheck deposited, and the form will process the same way it would for any other direct deposit setup.

Why the Form Calls It a Bank Key

The phrase comes from enterprise resource planning software, most notably SAP, which many large employers and government agencies use to run payroll. In SAP, “bank key” is a country-specific field that identifies a financial institution, and in the U.S. that identifier is the ABA routing number.1SWIFT. Treat “bank key,” “routing number,” and “routing transit number” as interchangeable when you see them on a domestic payroll form.

If you work for a multinational employer, the same field means different things in different countries: a sort code in the U.K., a transit number in Canada, a BSB code in Australia. For a U.S. account, it is always the nine-digit routing number.

Where to Find Your Routing Number

You have several ways to look it up, and any of them will give you the number payroll needs.

On a Paper Check

Look at the bottom-left of a personal check. The first nine digits in the machine-readable line are the routing number. The account number follows, then the check number. In Online or Mobile Banking

No checks? Log in to your bank’s website or app. Most banks display the routing number under “Account Details” or a dedicated “Direct Deposit” section. Monthly statements also show it near the account summary. Customer service can confirm it by phone as well, which is worth doing if you want to be sure you have the right number for your specific account.

In the Federal Reserve’s Directory

The Federal Reserve publishes an E-Payments Routing Directory, updated daily, where you can search by bank name.3Federal Reserve Financial Services. E-Payments Routing Directory Large banks that operate in many states sometimes hold more than one routing number, and the one that applies to your account depends on where or how you opened it. Two customers at the same bank can have different routing numbers, so verify against your own records rather than assuming.

Make Sure You Have the ACH Number, Not the Wire Number

Direct deposit runs through the Automated Clearing House network, so the number you enter on a direct deposit form should be your bank’s ACH routing number. Some banks use a different routing number for domestic wire transfers. Providing the wire number in an ACH field (or the reverse) can delay or reject the transaction.

If you’re unsure, ask your bank which routing number is used for ACH direct deposits. The Federal Reserve’s directory lets you search FedACH and Fedwire participants separately, which is another way to confirm you have the right one.

What Else the Direct Deposit Form Needs

Along with the bank key, you’ll typically be asked for:

  • Your account number.
  • The account type (checking or savings), because banks process the two differently.
  • The official name of your financial institution.

Your employer will provide an authorization form through an HR portal or on paper. Many banks post a pre-filled PDF on their website with the routing number and institution name already entered. A voided check is often requested so payroll can cross-reference the printed numbers; if you don’t have checks, a downloaded direct deposit form from your bank or a screenshot of your account details page usually works as a substitute.

Some employers let you split a paycheck across accounts, sending a fixed amount to savings and the rest to checking, for example. Not every payroll system supports the split, so ask HR if you want to divide your pay.

You also have the right to choose the bank that receives your deposit. Using a Fintech App Instead of a Traditional Bank

Payment apps issue routing and account numbers too. What Happens After You Submit the Form

Many payroll systems send a pre-note first, a zero-dollar test transaction that verifies the routing number, account number, and account type are valid. Your bank has two banking days to flag any problem. If the pre-note fails, the payroll system marks the error and you’ll need to resubmit corrected details. Watch your account for the test entry, which may show up as a $0.00 line or a small deposit of a few cents, to confirm the link is live.

If You Switch Banks or the Number Was Wrong

When you change banks, update your direct deposit with your employer right away and keep the old account open until at least one paycheck successfully arrives in the new one. The switch usually takes one to two pay cycles while a new pre-note runs. A deposit sent to a closed account will bounce, and retrieving it takes additional time.

If a deposit goes to the wrong account because of a data entry error, timing is everything.
