How to Report Business Credit to Dun & Bradstreet

To report business credit to Dun & Bradstreet, you request a free D-U-N-S Number, subscribe to D&B Credit Insights Plus, and then submit trade references and financial statements through the portal for D&B analysts to verify. The number identifies your business in D&B’s database; the Plus subscription is the only tier that lets you add data to your own file; verification turns your submissions into a credit profile that lenders, insurers, and partners can pull.

Step 1: Get a D-U-N-S Number

A D-U-N-S Number is a nine-digit identifier D&B assigns to each business location in its database. Every business that wants a D&B credit file needs one, and requesting it costs nothing.1Dun & Bradstreet. Get a D-U-N-S Number

Before applying, run your company through the D-U-N-S Number Lookup tool on D&B’s site. Many businesses already have a number assigned through vendor or public records without ever asking for one, and creating a duplicate slows everything down.

If you do need to apply, have the following ready:

  • Legal business name, as registered with your state
  • Physical business address (a separate application for each location)
  • Working business phone number
  • Name of the owner, president, or CEO
  • Legal structure (LLC, corporation, sole proprietorship, and so on)
  • Year the business was formed
  • Primary industry
  • Employee count, full-time and part-time combined

Standard processing runs up to 30 business days. D&B also offers a paid expedited option that delivers the number in roughly eight business days. A representative may call during the process to verify what you submitted.1Dun & Bradstreet. Get a D-U-N-S Number

Step 2: Subscribe to D&B Credit Insights Plus

The D-U-N-S Number is free, but reporting your own data requires a paid subscription. D&B Credit Insights (formerly CreditBuilder) comes in three tiers:

  • Free: basic score ranges and company information, no submissions
  • Basic, $49 per month or $499 per year: full credit scores, monitoring, and alerts
  • Plus, $149 per month or $1,499 per year: everything in Basic, plus the ability to submit trade references, payment records, banking statements, and financial statements for review2Dun & Bradstreet. D&B Credit Insights Plus

Only the Plus tier accepts documentation. If your goal is to actively build your file by feeding it vendor references and financials, Plus is the plan. Basic will show you what’s already there but won’t let you add to it.

Step 3: Submit Trade References

Trade references are records of payment relationships between your business and its suppliers. They drive the PAYDEX score, which runs from 0 to 100 and measures how reliably you pay. A PAYDEX of 80 means you pay within agreed terms; anything higher signals early payment.3Dun & Bradstreet. Frequently Asked Questions – PAYDEX Score and Weighting Key

One threshold matters before you start: D&B won’t generate a PAYDEX score until your file contains at least three payment experiences from at least two different suppliers. Below that, your profile shows a PAYDEX of “UN” for unavailable. Larger invoices carry more weight in the calculation than smaller ones.3Dun & Bradstreet. What to Gather for Each Vendor

Pull this information from your accounts payable records or recent invoices for every vendor you plan to list:

  • Vendor’s legal name, exactly as printed on billing statements
  • Contact person who manages your account there
  • Contact email and phone number, since D&B may reach out to verify
  • Vendor’s billing address from your invoices
  • Highest credit extended — the peak balance or credit limit given to you
  • Current balance owed as of the submission date
  • Payment terms (Net-30, Net-60, or whatever the arrangement is)

Check names and addresses against actual invoices rather than working from memory. Mismatches between what you submit and what the vendor confirms during verification can get a reference rejected.4Dun & Bradstreet. Submitting Through the Portal

Log into your Credit Insights Plus account and go to the documentation submission area. Upload the payment records and vendor details, then submit them for review. Save the confirmation screen that appears once the data enters the processing queue. D&B may run a brief identity check to confirm you’re authorized to act for the business before it moves ahead.

Not every reference will be accepted. D&B rejects submissions for incomplete information, inability to verify the vendor, or references in ineligible categories.4Dun & Bradstreet. What Is a Trade Reference and Its Potential Impact on Business Credit Scores and Ratings

Step 4: Submit Financial Statements

Beyond payment history, you can strengthen the profile with formal financials. The same Credit Insights Plus portal accepts business banking statements, payment records, and financial statements.

Prepare your most recent balance sheet and income statement (also called a profit and loss report). D&B pulls figures like total assets, liabilities, revenue, and net income into performance ratios used in its scoring models. CPA-prepared or CPA-reviewed statements carry more weight, but self-prepared statements are accepted. Documents can typically be uploaded as PDFs or spreadsheets.

Financial statements and trade references do different jobs. Trade references show how you pay other businesses; financial statements show overall fiscal position. A strong balance sheet alone won’t generate a PAYDEX score, and trade references without financial context leave the profile thin.

Verification Timeline

After you submit trade references, D&B credit analysts contact the vendors you listed to confirm payment amounts, terms, and history. If something doesn’t line up, an analyst may ask you for additional documentation. Financial statements go through their own internal quality-control review.

Expect the full cycle — from submission to verified data appearing on your report — to take several weeks. Watch your Credit Insights dashboard to see each reference get validated.

A Faster Way to Build the File: Vendors That Report Automatically

Not every trade line has to come from your own submissions. Many suppliers report payment history to D&B directly. Large industrial and office supply companies, including sellers of shipping materials, hardware, power tools, and office products, commonly furnish payment data on their business credit accounts. Some commercial credit cards report to D&B, Experian Business, and Equifax Business automatically.

Opening net-30 accounts with suppliers that report is one of the fastest ways to build the file. Each on-time payment adds a new trade experience, and paying before the due date pushes PAYDEX above 80.

Monitoring and Disputes After You’re Reporting

Once the profile is live, D&B alert tools notify you when key items change:

  • Score drops below a threshold you set on the Failure Score
  • Bankruptcy or insolvency filings
  • New collections, claims, or judgments
  • Changes in ownership or principal names
  • Financial information updates
  • New secured borrowing or liens5Dun & Bradstreet. Receiving Alerts – Managing Alert Profiles

If you spot inaccurate information, you can dispute it at no charge through D&B customer service or the online dispute process. Under a Federal Trade Commission order that governs D&B’s practices, the company must either delete the disputed information or reinvestigate the specific concerns you raised.6Federal Trade Commission. Dun and Bradstreet Modified Decision and Order

For payment-related disputes, the order sets these deadlines:

  • D&B must complete its investigation within 14 business days of receiving the dispute, with a possible extension of up to 14 additional business days if reasonable efforts require it.
  • You must be told the outcome within five business days after the investigation ends.
  • If the information is inaccurate or unverifiable, D&B must correct its records: within four business days for products that update daily, or by the next scheduled update for products on a periodic cycle.6Federal Trade Commission. Dun and Bradstreet Modified Decision and Order

If D&B doesn’t remove the disputed item, you can request the name of the source that reported it and the date of the payment at issue, then take the dispute to the vendor directly.

One Boundary Worth Knowing

Business credit reports don’t get the protections the Fair Credit Reporting Act gives personal credit. The FCRA and its implementing Regulation V apply to consumer credit used for personal purposes, and requirements like risk-based pricing notices are explicitly excluded for credit extended primarily for a business purpose.7eCFR. Title 12 Part 222 – Fair Credit Reporting (Regulation V) There’s no statutory right to a free annual report, no across-the-board accuracy standard, and no adverse-action notice for a business file. The FTC order behind the dispute deadlines above is specific to D&B and comes from an enforcement action, not a general consumer statute. That’s the reason regular monitoring of your business profile carries more weight than it does on the personal side: the built-in safeguards aren’t there to catch problems for you.
