How to Prove Income: W-2s, 1099s, and Bank Statements

How you prove your income depends on how you earn it. If you’re a W-2 employee, recent pay stubs and your latest W-2 will usually do the job. If you’re self-employed, you’ll lean on tax returns, 1099s, and a year-to-date profit and loss statement. If your money comes from Social Security, VA benefits, a pension, investments, rent, or support payments, each has its own paperwork. Lenders, landlords, and agencies want to see that the income is real, current, and likely to continue, and the documents below are the ones they accept.

If You’re a W-2 Employee

Your Form W-2 summarizes your taxable wages and withheld taxes for the calendar year. Reviewers check Box 1 (wages and tips) and Box 2 (federal income tax withheld) first. Employers must deliver W-2s by January 31 of the following year, though the tax year 2026 deadline lands on February 1, 2027 because January 31 is a weekend.1Internal Revenue Service. Pay stubs cover the current picture. They show gross pay, net pay, and year-to-date totals for each pay period. Most employees can download them through a payroll portal. For a mortgage, your stub generally has to be dated within 30 days of the application, so a stub from earlier in the year won’t clear underwriting.2Fannie Mae. Overtime, Bonuses, and Tips

Variable pay needs more history than base pay. To count overtime, bonuses, or tips as qualifying income for a mortgage, you typically need at least 12 months showing consistent receipt, plus W-2s from the most recent two years.2Fannie Mae. If your variable income is trending down, a lender may reduce it or drop it out of the calculation.

If You’re Self-Employed or a Contractor

Working for yourself means no single employer generates your records, so you build proof from several documents.

1099 Forms

Any business that pays you $600 or more for services in a year must issue a Form 1099-NEC.3Internal Revenue Service. Tax Returns and Schedule C

The number lenders and reviewers treat as your actual income is net profit on line 31 of Schedule C, after your deductible business expenses come out of gross receipts.5Internal Revenue Service. If you’ve been self-employed for less than two years, your file may still be considered as long as your most recent return covers a full 12 months of business income.6Fannie Mae. Year-to-Date Profit and Loss Statement

Because returns only cover finished years, expect a request for a signed year-to-date P&L showing revenue, expenses, and net income through the most recent month before you applied. The lender will compare it against your business bank statements. If the two don’t line up, you’ll be asked for more records, or the income will be excluded.

IRS Tax Transcripts

An IRS transcript is one of the most trusted forms of proof because it comes straight from the IRS rather than from you. The types you’ll actually reach for:7Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them

  • Tax return transcript, which shows most line items from your return as filed. This is what mortgage lenders typically ask for.
  • Wage and income transcript, which pulls together W-2, 1099, and other information-return data reported to the IRS.
  • Verification of non-filing letter, which confirms the IRS has no return on file for a given year (available after June 15 for the current year).

All transcripts are free. You can view or download them through your IRS Individual Online Account after identity verification, or request them by mail with a five to ten business day wait. Personal information is partially masked on a transcript, but the financial entries all remain visible.

Many mortgage lenders bypass the request process entirely through the Income Verification Express Service (IVES). You sign Form 4506-C, and the lender pulls your transcript directly from the IRS.8Internal Revenue Service. If You Receive Social Security, VA, or Other Benefits

Benefit income is documented by the agency that pays it, not an employer.

The Social Security Administration issues a benefit verification letter (also called a proof of income letter) confirming your monthly benefit. Veterans can download benefit verification letters through the VA’s online portal.10Veterans Affairs. Download VA Benefit Letters VA disability compensation is tax-exempt, so a lender may “gross up” the amount, effectively treating it as a higher figure to reflect its value against taxable pay.

Investment, Rental, and Support Income

Dividends and interest are reported on Form 1099-DIV and Form 1099-INT. Financial institutions issue these when distributions or interest exceed $10 for the year.11Internal Revenue Service. Rental income is proved with signed leases showing the monthly rent, backed up by Schedule E of your Form 1040. Lenders line the lease terms up against the income you reported on your return.

Alimony, child support, and separate maintenance can qualify as income, but only if the payments will continue for at least three years after your loan application date. You’ll need to produce the divorce decree, separation agreement, or court order that sets the payment terms, and you must also show at least six months of on-time receipt of the full amount. Payments with less than six months of history are treated as unstable and won’t count.13Fannie Mae. Employer Verification Letters and The Work Number

An income verification letter is a written statement from your employer confirming employment and compensation. Landlords and agencies often ask for one when pay stubs and tax forms alone don’t answer their questions. A complete letter names the employer with a phone number for follow-up, states your job title and start date, breaks down your salary or hourly rate along with pay frequency and any recurring bonuses or commissions, and carries a signature from HR or a supervisor. Missing fields are one of the most common reasons applications stall, so if the requester provides a template, use it.

Many larger employers have moved to automated verification instead of drafting letters one by one. The Work Number, operated by Equifax, lets authorized parties confirm employment and income electronically. Bank Statements and the Large Deposit Rule

Bank statements work as direct evidence of cash flow, either on their own or alongside the documents above. Reviewers look for a steady pattern of deposits that match the income you claimed, and they pay attention to sources: recurring payroll or business revenue is what they want to see, not one-off transfers.

On a mortgage to purchase a home, any single deposit that exceeds 50 percent of your total monthly qualifying income is treated as a “large deposit.” You’ll need to document where it came from with a written explanation and supporting records like a bill of sale, gift letter, or pay stub.14Fannie Mae. Certified statements can be requested directly from your bank. Most banks offer downloads through online banking free of charge, though older or paper copies may carry a fee.

Consequences of Faking Documents

If you can’t document income the way a reviewer wants, the fix is to gather better records or explain gaps in writing, not to alter what you have.
