Capital One Medallion Signature Guarantee: Branch Rules and Alternatives

Capital One is legally eligible to issue a Medallion Signature Guarantee, but the bank does not advertise the service, and whether you can actually get one depends on where and how you bank. Customers with accounts at physical Capital One branches sometimes can, though availability varies by location. Capital One 360 online-only customers have historically not been able to obtain one through the bank at all. Before making any trip, call your specific branch, confirm it participates in a medallion program, and give the officer the dollar value of your transaction so they can tell you whether their stamp tier covers it.

Why Capital One’s Answer Isn’t Straightforward

As a federally insured bank, Capital One meets the SEC’s definition of an “eligible guarantor institution” under the federal signature guarantee rule, which means it is legally permitted to offer the stamp.1eCFR. 17 CFR 240.17Ad-15 – Signature Guarantees Legal eligibility and actual availability are different things. Capital One does not maintain a public page describing its policy, and whether any given branch has an authorized officer and the right stamp on hand is decided locally.

The reason banks treat this service so cautiously is financial. When an institution applies a medallion stamp, it takes on liability for the signature: if the endorsement turns out to be forged or unauthorized and the transfer agent suffers a loss, the guarantor can be forced to pay under the program’s indemnity agreement.2Securities Transfer Association. If You Bank at a Capital One Branch

Call the branch you plan to visit before you go. Ask three things: does this branch participate in a medallion program, is there an authorized officer available, and what is the surety limit on the stamp they carry. Give them the dollar value of the securities involved so they can confirm their stamp tier covers your transaction.

Ask about account-tenure requirements too. Many banks require a minimum relationship period, often six months, before they will guarantee a signature. If your branch cannot help, ask whether another Capital One location in your area carries a higher-tier stamp or offers the service.

Fees vary. Some banks provide the service at no charge to qualifying account holders; others charge between roughly $10 and $50.

If You’re a Capital One 360 Customer

Expect this route to be closed. Medallion guarantees depend on the in-person account relationship that online-only banking does not provide, and Capital One 360 customers have reported being unable to obtain the service through the bank. Plan on using one of the alternatives below.

Stamp Tiers Determine Where You Can Go

Every medallion stamp carries a letter prefix that caps the transaction value it covers. If your securities exceed the limit, the guarantee is invalid and the transfer agent will reject it. The standard tiers:

  • E: up to $100,000
  • D: up to $250,000
  • C: up to $500,000
  • B: up to $750,000
  • A: up to $1,000,000
  • X: up to $2,000,000
  • Y: up to $5,000,000
  • Z: up to $14,000,000

Retail bank branches typically carry stamps in the lower tiers, E through B. Brokerage firms that handle securities transfers routinely tend to carry higher-tier stamps. If you are transferring a large portfolio, a brokerage account is often the more practical starting point.

What to Bring If the Branch Says Yes

Arrive with the transfer document fully completed but unsigned. The authorized officer must witness the signature, and showing up with a pre-signed document is one of the fastest ways to be turned away.

Bring documentation in three categories:

  • Identity: a valid, unexpired government-issued photo ID such as a driver’s license or passport. If the securities are jointly owned, every owner must be present with their own ID.
  • Ownership: the original stock or bond certificates, or a recent account statement from the transfer agent showing the account number, security name, and current market value. Statements older than six months may be rejected.
  • Legal authority, if signing for someone else: an executor needs Letters Testamentary issued by the court; a trustee needs the trust agreement or a trustee certification form; a corporate officer needs a board resolution authorizing the transfer.

A will alone is not sufficient for estate transfers. Transfer agents and guarantor institutions require court-appointment documents proving legal authority to act on behalf of the estate.

Alternatives When Capital One Can’t Help

Your Brokerage

If you hold an investment account at a brokerage such as Fidelity, Schwab, or Vanguard, start there. Brokerages process securities transfers constantly and are more likely to carry higher-tier stamps than a retail bank branch. Some will process the guarantee by mail or through a local office. For anyone already invested through a broker, this is usually the smoothest route.

Credit Unions and Other Banks

Federal law defines eligible guarantor institutions to include banks, brokers, credit unions, savings associations, and clearing agencies, so the pool is wide.1eCFR. 17 CFR 240.17Ad-15 – Signature Guarantees Many credit unions participate in medallion programs, and their membership rules can be more flexible than a large bank’s customer-tenure requirements. Call ahead, confirm participation, and ask about any relationship or tenure requirements.

Computershare’s Medallion Waiver

If Computershare is the transfer agent for your securities, you may be able to skip the stamp entirely. Computershare offers a waiver program for U.S. residents whose total account value is under $10,000. You submit a $50 check payable to Computershare with a copy of your government-issued photo ID, and you write the check number on the transfer request form in the space where the medallion stamp would normally go.3Computershare. If You’re Outside the United States

The SEC notes that a medallion guarantee may be obtainable from an overseas branch of a U.S. or Canadian bank, broker, or credit union where you already have an account.4U.S. Securities and Exchange Commission. Why Requests Get Denied

Denials are more common than people expect. Knowing the reasons saves wasted trips.

  • No established relationship. Most institutions require a minimum account tenure, often six months, before they will guarantee your signature.
  • Transaction exceeds the stamp limit. If your securities are worth more than the branch’s stamp tier covers, the officer cannot legally apply it.
  • Document already signed. The officer must witness the signature.
  • Incomplete or inconsistent paperwork. If the name on your ID does not match the name on the securities registration, or if the transfer form has blanks or errors, the officer will not proceed.
  • Missing authority documents. Signing as an executor, trustee, or agent without the proper court or legal documents is an immediate disqualifier.

One boundary worth flagging: a notarized signature is not a substitute.
