Can I Close My Business Bank Account Online?

You can close a business bank account online at many banks, but whether that option is actually open to you depends on how your business is set up, who has signing authority, and whether the account has anything hanging over it. Sole proprietors with a single signer usually have the smoothest path. LLCs and corporations often run into documentation the bank will not accept electronically, which forces a branch visit. Either way, closing properly matters: draining the balance and walking off can trigger fees, negative reporting, and tax-time headaches.

Whether Your Bank Will Let You Do It Online

Two things decide this: your business structure and your bank’s own rules. A sole proprietorship with one owner and no additional signers is the easiest case, and banks that offer digital closure will generally handle it through the web portal.

LLCs and corporations are harder. When more than one person has signing authority, the bank wants proof that whoever is asking for closure has the authority to ask. That usually means a board resolution or a signed authorization form, and some banks will not accept those documents electronically. If yours requires wet-ink signatures or notarization, you are going to a branch regardless of what the portal appears to offer.

Banks may also block online closure if the account is overdrawn, has pending transactions, has an active dispute, or is subject to a lien or garnishment. There is no single federal rule setting when online closure has to be available. Each bank writes its own policy under the general federal requirements to verify identity and prevent unauthorized account changes.

What to Do Before You Submit the Request

Gather Your Identifiers and Authorization

Pull together your Employer Identification Number, the full account number, the routing number, and the legal business name exactly as it appears on your tax ID documents. A mismatch on the name can get a request rejected.1Internal Revenue Service. Employer Identification Number

If you run an LLC or corporation, check your operating agreement or bylaws. They may require a formal resolution naming who can close the account and identifying the specific account. Many banks also publish their own closure authorization form that has to be signed by every authorized signer listed on the original signature card. Save these as PDFs so you can upload them when the portal asks.

Let Everything Clear and Redirect Recurring Items

Wait for pending transactions to post. Any outstanding checks that arrive after closure will be returned unpaid, and the payee’s bank may charge a returned-item fee. Federal regulators have noted returned-item fees at most banks in the range of $10 to $19, and the check writer’s bank often adds a separate insufficient-funds fee, so the combined charge per check can approach $50.2Federal Register. Bulletin 2022-06 Unfair Returned Deposited Item Fee Assessment Practices

Redirect every recurring ACH item before you close: payroll, utilities, insurance, loan payments. Contact each company that debits the account and update the payment information. Skip this and you get missed payments, late fees, and interrupted services.

Zero the Balance, and Watch for an Early-Closure Fee

Move all remaining funds out so the balance is exactly zero. An internal transfer, an external ACH, or a wire all work. Check your account agreement first: some banks charge an early closure fee if you close within a set window after opening, often 90 to 180 days.

Download Your Records First

Portal access can disappear once the account is closed, and with it your history. Before you initiate closure, pull down:

  • Every monthly statement, as PDFs, for the life of the account.
  • The full transaction history as a CSV or spreadsheet you can import into accounting software.
  • Any 1099-INT forms or year-end summaries the bank has issued.

The IRS generally wants business records that support items on your returns kept for at least three years after filing. Records tied to a bad-debt or worthless-securities loss claim should be kept for seven. Employment tax records should be kept for at least four years after the tax is due or paid, whichever is later.3Internal Revenue Service. How the Online Closure Actually Runs

Steps vary, but the shape is consistent. Log into the business banking dashboard and look under account services, settings, or account management. Some banks label the option “close account” plainly; others tuck it inside a general request or service ticket.

If supporting documents are required, upload them through the portal’s secure document center. When you confirm the request, the system checks for holds, pending items, and liens. If it clears, you get a digital confirmation with a reference or tracking number. Save or print it right then.

Finalization usually takes a few business days. A final statement showing a zero balance is generated and delivered through secure messaging or by mail. If nothing arrives within two weeks, call the bank and confirm the account is actually closed.

When a Lien or Hold Is in the Way

A federal tax lien, legal garnishment, or court-ordered hold will stop the closure until it is resolved. Paying a federal tax debt in full is the most direct route; the IRS releases the lien within 30 days of payment. If you cannot pay in full, the IRS offers alternatives including discharge, subordination, and withdrawal of the lien notice under a direct-debit installment agreement, each with its own eligibility conditions.4Internal Revenue Service. Understanding a Federal Tax Lien For a garnishment or court judgment, you generally have to satisfy the underlying obligation or get a court order releasing the hold. Contact the creditor or issuing court for instructions.

What Happens If You Just Stop Using the Account

Leaving an account idle is not the same as closing it, and the difference can follow you.

Even a zero-balance account can accrue monthly maintenance fees. If those fees push the balance negative and you ignore them, the bank may close the account involuntarily and report the unpaid balance. That report can land in your ChexSystems file, which banks pull when you apply for new accounts. Negative information can stay in ChexSystems for up to five years and make it harder to open accounts elsewhere.5Consumer Financial Protection Bureau. Helping Consumers Who Have Been Denied Checking Accounts

Idle accounts also get swept as unclaimed property. If there is no customer-initiated activity for a prolonged period, generally three to five years depending on the state, the bank has to turn the remaining funds over to the state.6HelpWithMyBank.gov. When Is a Deposit Account Considered Abandoned or Unclaimed The bank will try to reach you first, but if your address or email is stale, you may never see the notice. Getting the money back from the state means a separate claims process that can run weeks or months.

If You’re Also Closing the Business

Closing the bank account does not close your tax obligations. If you are shutting the business down entirely, the IRS expects you to file a final return for the year of closure, and the specific form depends on your entity type. Partnerships and corporations must check the “final return” box on their return.7Internal Revenue Service. Closing a Business

If you had employees, make your final payroll tax deposits before you zero the account, then file the final employment tax returns marked as final and issue W-2s for the calendar year in which employees received their last paychecks.7Internal Revenue Service. Closing a Business

To close the IRS business account itself, send a letter with the business’s legal name, EIN, address, and reason for closing, along with a copy of the original EIN assignment notice if you still have it. The IRS will not close the account until required returns are filed and taxes owed are paid.7Internal Revenue Service. Closing a Business

One more thing to watch for after closure: if the account earned $10 or more in interest during the year, the bank still has to issue a 1099-INT, typically by January 31 of the following year.8Internal Revenue Service. About Form 1099-INT Interest Income Because portal access may be gone, confirm the bank has a current mailing address on file so the form actually reaches you.

Save the Confirmation

Keep the digital confirmation receipt, the reference number, and the final zero-balance statement in your permanent business records. If a creditor, tax authority, or another bank ever questions whether the account was properly closed, those documents are the proof. Store them with your exported statements and final tax returns for at least the IRS retention window that applies to your situation.3Internal Revenue Service. How Long Should I Keep Records
